Inserts are 11" high by 4.25" wide, on card stock (at least 67lb, any color you choose), and typically include more information on your topics on one side and either an advertisement or a coupon on the other. Inserts CANNOT be any other size, nor can they be a full page folded in half. They should be done portrait, but sometimes people do the ad on the back in landscape.
Most people create them in a full page Word document, divided into two columns (front of insert on left side, and back on right side), then print it out, take it to Kinko's, have them copied on both sides on card stock. Kinko's can usually do two-sided copies and cut them in half while you wait. To print 1000 inserts, you will need 500 sheets of card stock, any color you choose. If you print or copy these in-house, Kinkos will charge you $2 to cut 500 sheets of card stock in half.
For clarification purposes, the terms "inserts," "stuffers," and "invitations" all refer to the same thing. The purpose of these stuffers is to drive more people to your briefing room by giving them more information than we can give in our materials. Our printed and online agenda both have drawbacks, rigid formats, lack of space and lack of graphical content. The 15-20 word description that we print in the agenda is rarely enough to adequately explain the value gained by attending your briefing, just enough to hit the highlights. Most inserts expand the description to 50-100 words, add pictures of product boxes, logos, etc. Then on the back side, many presenters place an advertisement or coupon or describe freebees being give to those who attend their briefings. We will stuff all the inserts into front of the agenda, and they WILL make a difference in your briefing room traffic, especially if your topic is not mainstream to an executive audience.

Please prepare 1000 inserts and have them delivered to the hotel by 5:00PM two days BEFORE the event. In most cases, you will give them to the front desk to "Hold for Connect." Items delivered after late will NOT be stuffed. Occasionally, boxes get misplaced, usually the first or last things to arrive or anything shipped to the facility ahead of time. Therefore, if you haven't made personal contact with someone from the event delivery team regarding your inserts, please call the event manager and let him/her know where you left or shipped your inserts.
ROOM NUMBERS: It is very effective to refer to your briefing suite number or name on the inserts. You will receive a separate email from us with these assignments as soon as the event floor plan is finalized.
CROSS CHECK: Make sure the titles and times of your briefings match the titles and times on the final online agenda. You will be receiving a link to the online agenda when it is complete.
