Marketing Phase | Event Day | Follow-up

 

Title sponsors are our partners.  While we strive to provide excellent marketing support services to all vendors, title sponsors are unique, and have access to almost all of our resources to help them put the best foot forward at our events.  It is as if the event belongs to them, and as such they are entitled to put their name before the event when referring to it to customers and the press (ie. ABC Corp’s Connect 2002 event).

 

Most sponsors are engaged in a relationship sales process.  Our primary objective is to help advance their relationships with current and prospective clients, to give them exposure and opportunities at the event which exceed those of other participants.  We do this by assisting in making quality contacts before, during, and after the event.

 

Most importantly, if you are a title sponsor and wish to exercise any of these, there is NO additional charge, except the cost to conduct the actually activity you are sponsoring.  For instance, if you wish to provide bags or logo shirts for registration staff, the only cost is the cost of your bags and shirts.

Discounted Enrollments for Clients: We have developed a standard set of offer letters, faxes and emails that our sponsors can use to offer discounted enrollments to the event to their key clients and prospective clients.  The communications can come from the sponsor, from us, or from a Chamber of Commerce – we can help make all of the arrangements.  Not only will the clients get the chamber member discount on enrollments, but we can also set aside a pool of free enrollments for companies that send more than one to the event.  Because this is an invitation-only event, we do not sell enrollments directly over the web, via fax or telephone.  However, we can announce a sponsor’s participation in the project to their customers, and have the customers reply if they are interested in learning more.

Speak at Welcome Address: At 8:00AM, in most facilities, we gather the entire audience together for the only general session of the event.  The purpose of the session is to orient attendees on the workings of the event and start them on the path of talking and networking with each other about technology topics.  We invite speakers to talk to the audience for five to six minutes each.  Half way through their presentation, the speaker should pose a issue to the audience, for them to vote on as a table.  If the presentation is on eCommerce, a first question at the mid-point of the presentation might be, “Will your business EVER earn more revenues via the web than it does via all other channels?”  Then we give them one-two minutes to discuss, waiting for the discussion to die down.  In the course of the discussion, they will discover what each other does at a table, and vote as a table.  Some tables will vote thumbs up, and others thumbs down.  The perfect question divides the audience in half.  There is typically enough time for three of our Title sponsors to participate in the welcome program in this fashion.  If you have been invited to participate in the Welcome program, please visit the Welcome Address Preparation pages.

*Host a Lunch: Host either the 12:00n or 1:00pm Lunch

 

Food/Drink Bar: Where possible, we try to make arrangements with the facility to support adding unique food items at the lunch or mixer, typically at a sponsored bar.  Someone might be able to sponsor a Sushi Bar, a Baked Potato bar, a Honey Baked Ham stop, a Desert Bar, a cocktail bar, or a Cappuccino bar, almost anything you can imagine.  We will place a sign or banner at the food bar, and if done at lunch time, we can place a sign on each table indicating the existence and sponsorship of the food bar.

 

Host a Mixer: Host the 4:00pm Mixer and Prize Drawing

 

Moderate Birds of a Feather: Moderate a Birds-of-a-Feather Session

 

Organize Panels: Title sponsors are invited to organize and sometimes moderate Power Panel briefings in their area of expertise.  You can invite dealers, customers, and others as long as they represent a diverse experience with the technology.  Obviously, we do not want to constitute a panel of people with a single viewpoint, but they can share common experiences.

 

Parking Validation:  Validation Stamped at Booth or Briefing Room

 

Treasure Maps: Double Stamping of Treasure Maps at Exhibit Booth, or tell them that if they win any prize at the mixer and their form has a special stamp in the upper left hand corner they also get a second prize.

 

Logo Shirts at Registration: Welcome & Registration Staff Wearing Sponsor’s Logo Shirts

 

Attendee Bags: Provide Bags for Attendees in Exhibit Area

 

Brochures on Chairs: Place Brochures or Special Offers on Chairs
